1. What’s Included
Your registration fee includes:
- Accommodation in a private double room (single occupancy) or shared twin room (double occupancy)
- All meals from dinner on 20th September to brunch on 25th September
- A nourishing daily brunch and evening dinner
- Bottled water, herbal teas and light snacks available throughout the day
- Full participation in all group sessions, workshops, and transformational practices
- Optional group excursions and integration activities (payable at the venue)
- Use of retreat facilities and access to shared spaces
Your registration fee does not include:
- Flights or travel to and from the retreat venue
- Travel insurance (which is mandatory)
- Additional meals or drinks outside of those provided
- Optional treatments, excursions, or services not explicitly included in the retreat itinerary
2. Deposit and Payment
- A non-refundable deposit of ÂŁ500 secures your place on the retreat.
- The remaining balance is due by 1st July 2025.
- If we do not receive your full balance by this date, your registration and deposit will be forfeited and your place may be offered to someone on the waiting list.
- Before registering, please ensure you are able to meet the payment deadlines and make the necessary travel arrangements to attend the full retreat.
- If you or a close loved one has a medical condition that may affect your ability to travel, we kindly ask you to consider this before booking.
3. Cancellation Policy
- Cancellation before 20th July 2025: ÂŁ500 deposit is non-refundable; any additional payments made will be refunded.
- Cancellation between 20th July and 11th August 2025: 50% of the total retreat fee will be retained.
- Cancellation on or after 12th August 2025: No refunds will be offered.
- No refunds will be issued for:
 - Late arrival or early departure
 - Missed sessions or meals
 - Voluntary non-participation in included elements
4. Travel and Insurance
- You are responsible for arranging your own flights and transfers to and from the retreat venue.
- You are required to purchase comprehensive travel insurance, which must include:
 - Medical care
 - Personal accident
 - Trip cancellation or curtailment
 - Lost property and liability cover
- Insurance is a condition of attendance. You will be asked to confirm you have valid travel insurance before the retreat.
5. Participation Policy
- Participants are expected to attend the full retreat programme from start to finish.
- Group sessions are integral to the transformational process. Optional excursions and additional treatments are available at your own discretion and cost.
- If you choose not to take part in certain activities or meals included in the retreat fee, no refunds or partial reimbursements will be offered.
6. Preparation and Integration
- To gain the most from your retreat experience, we strongly recommend that you complete the preparatory materials provided before the retreat begins. These materials are designed to help you identify areas of life where unconscious or subconscious patterns may be influencing your experience.
- If you have opted for the pre-retreat RTT session, this should ideally be scheduled and completed in the 4 weeks prior to the retreat start date (between 20 August and 17 September 2025).
- These preparatory steps are optional but highly encouraged to maximise clarity, depth, and personal transformation during the retreat.
- A follow-up online group session will be offered after the retreat to support ongoing integration, reflection, and continued connection with the group.
7. Venue and Accessibility
- The retreat takes place at Samudra, a 400-year-old farmhouse with authentic character and rustic charm.
- Please be advised: the venue is not suitable for those with significant mobility issues due to the historic structure and stairs.
- You are responsible for any damage you cause to the property or its contents.
- All guests are expected to respect the venue’s shared spaces and guidelines.
- Kate Tolson trading as Energy Gardener Retreats reserves the right to change the retreat venue or third-party suppliers if necessary (e.g. due to unforeseen circumstances, force majeure, or issues outside of our control).
- In the event of such changes, we will ensure the alternative accommodation is of equal or comparable standard, and that the retreat experience remains consistent in quality and intention.
8. Dietary Information
- Meals will be vegetarian, seasonal, and organic where possible.
- While we aim to accommodate non-serious allergies and preferences, we cannot offer fully personalised menus.
- If you have specific dietary needs, please bring any essential food items. Shops and markets are nearby should you need additional supplies.
9. Health and Safety
- Please disclose any physical or mental health conditions, past or present, that may affect your participation.
- Activities may include gentle movement, bodywork, therapeutic hypnosis, and time in nature.
- Participation is voluntary. If you experience discomfort at any point, you are encouraged to pause and communicate your needs.
- If you have a history of epilepsy or psychosis, please inform us in advance. Hypnotherapy is generally not recommended for individuals with these conditions, and we may suggest that you refrain from certain sessions for your safety and wellbeing.
- You are responsible for your own wellbeing and participation during the retreat.
- We reserve the right to decline participation in any activity if it is not in your best interest or that of the group.
10. Itinerary Disclaimer
- The itinerary shared at the time of booking reflects the planned retreat experience.
- We reserve the right to adapt sessions, timings, or excursions in the event of weather disruption, site closures, or group needs.
- Any adjustments will remain in alignment with the retreat’s spirit and intention.
11. Liability
- By attending, you acknowledge that Kate Tolson trading as Energy Gardener Retreats is not liable for any loss, injury, illness, or damage incurred during the retreat.
- We are also not responsible for third-party services including the venue, excursions, or travel disruptions.
- Participation is at your own risk and responsibility.
12. Data Protection
- Your personal data will be kept confidential and used only for retreat communication, planning, and safety.
- It will not be shared with third parties without your consent, unless required by law.
13. Legal Jurisdiction
- These Terms and Conditions are governed by the laws of England and Wales.
- Any disputes will be subject to the jurisdiction of the English courts.
14. Acknowledgement
By paying your deposit, you confirm that you have read, understood, and agreed to all terms outlined above.
